How to Calculate Profit on Digital Products
A sale tells you what a customer paid. Profit depends on what remains after the costs. For digital downloads, those costs can include platform fees, payment processing, refunds, advertising and recurring software.

Start with contribution per order
Contribution per order = selling price − percentage fees − fixed transaction fee − refund allowance − variable delivery cost − advertising cost per order.
Use the actual charges from your provider. Different marketplaces apply fees differently, so a generic model is an estimate. Sales tax collected on behalf of tax authorities is not your sales revenue. Income tax and owner wages are separate from the calculations below.
A worked example
This is a hypothetical illustration, not an earnings claim. Suppose a digital product sells for 19 in your chosen currency, fees are 5% plus 0.30 per order, your refund allowance is 2%, and advertising costs 2 per order.
| Item | Amount |
|---|---|
| Selling price | 19.00 |
| Percentage fee | 0.95 |
| Fixed fee | 0.30 |
| Refund allowance | 0.38 |
| Advertising | 2.00 |
| Contribution before fixed costs | 15.37 |
At 100 orders, contribution is 1,537. After 30 in monthly fixed costs, estimated monthly profit is 1,507. Multiplying by twelve gives 18,084, but only if those monthly inputs repeat. It is an annualized estimate, not a forecast.
Find the orders needed to cover fixed costs
Divide monthly fixed costs by contribution per order and round up. In this example, 30 ÷ 15.37 means two orders cover the modeled fixed costs. If contribution is zero or negative, more orders will not solve the problem. Review the price and variable costs.
Review subscriptions before renewal
Record the service, charge, billing cycle, next renewal date and cancellation notice period. A 10 monthly subscription costs 120 per year. Decide whether to keep, review or cancel it, then confirm cancellation directly with the vendor. A manual tracker does not cancel subscriptions or send alerts.
Record actual results each month
- Record gross sales excluding sales tax collected.
- Record actual refunds, fees, advertising and other costs separately.
- Calculate actual profit and compare it with your estimate.
- Choose one action for next month.
Enter subscription payments in the month they are paid. Do not deduct both the actual payment and the annualized planning total.
